Privacy Statement
This privacy statement describes how Newtopicplace handles personal data collected in the context of interior repair, advice and related services. We process personal data carefully, in accordance with applicable legislation, and strive for transparency about what we collect, why we do so and how long data is retained.
What data do we process?Depending on the situation, we may process the following categories: name, address, contact details (phone number and email address), information about the property or space where work is carried out (for example photos you provide), scheduling and invoice data, and communication preferences. If you are a business contact, company name, Chamber of Commerce and VAT details may also be processed.
Legal bases and purposesWe process data to assess your request, prepare a quote, plan and carry out work, handle invoicing and provide service. We may also, with your consent, send communications about updates or relevant information about maintenance and repair. Where necessary, we base processing on performance of a contract, compliance with legal obligations or a legitimate interest, such as improving services and recording necessary project information.
Retention periodsData is not retained longer than necessary for the purpose for which it was collected. We retain project and invoicing records for as long as legally required. We retain substantive communications about work for as long as reasonably necessary for aftercare or follow-up. If you have given consent for communications, we retain contact details until you unsubscribe or withdraw your consent.
Sharing with third partiesWe do not share personal data with third parties unless this is necessary for carrying out work (for example, with a subcontractor performing specific maintenance), for legal obligations, or with parties that provide processor services, such as IT and hosting providers. We enter into appropriate agreements with processors to ensure confidentiality and security.
SecurityWe take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and other unlawful use. This includes limited access rights, encrypted storage where appropriate and careful user management. Despite care, risk can never be completely excluded; we periodically evaluate security measures and improve them where necessary.
Your rightsYou have the right to access, rectification, restriction of processing, erasure of data (where possible), objection to certain processing and data portability. If processing is based on consent, you can withdraw that consent at any time without affecting the lawfulness of processing before the withdrawal. Requests can be submitted vianewtopicplace@outlook.com. We aim to handle requests within a reasonable period.
